Description

We are currently seeking and Administration Assistant – to support admissions and enquiries within a busy university admin office environment. This will be a full-time fixed term contract starting as soon as possible and running until the end of May 2026. The role will be based in an office in Wrexham but will allow some flexibility for hybrid working – approximately 1-2 days per week from home.

A rate of pay up to £14 per hour is available – plus holiday pay – paid weekly via our PAYE payroll. A description is given below but candidates will require prior experience in an administration role – and some knowledge an experience of the university admission process either by previous working experience in a similar role, or personal experience gained by previous enrolment in higher education.

 

The Administration Assistant – (Admissions and Enquiries) will provide the front-line enquiry service within the Admissions team and as such be the first point of contact for applicants and queries providing a welcoming, responsive, professional and efficient customer focused service. The post holder will be required to develop and maintain an excellent knowledge of admissions and enquiries processes and have a general knowledge of other University services. They will be expected to adopt the most appropriate response to the individual needs of each applicant and enquirer, wherever possible initially addressing the issue on the spot or - if not possible - arranging for effective support from admissions advisors or relevant professional services within the University.

 

Administration Assistant  - Responsibilities will include:

  • Respond professionally to initial enquires made into the Admissions and Enquiries team, either via email, telephone, webchat, enquiry form or in person
  • Engage proactively with applicants and enquirers to facilitate their journey through the university admissions process, answering their questions or pointing them to relevant specialists for further details
  • Coordinate responses to enquiries received that are not for the Admissions and Enquires team, ensuring all audiences who contact the Admissions and Enquiries team see a resolution to their query as soon as possible
  • Ensure all incoming enquiries are logged on the Marketing and Recruitment CRM system, so that accurate enquiry reports can be completed by the Enquires team each month
  • Have a flexible approach to working hours and places of work to meet the needs of applicant and enquirers
  • Ensure confidentiality and integrity of student information in accordance with the UK GDPR, Data Protection Act and other relevant legislation and Codes of Practice including the University’s Information Security Policy
  • Undertake regular University required training
  • Maintain continuing professional development to keep abreast of sector changes relating to the role and service developments and improvements initiatives within the University aiming to improve student experience.

 

Administration Assistant – candidate requirements/specification:

Highly customer focussed with excellent interpersonal and communication skills Confidence to be outwardly focussed and proactively engage with people Demonstrable ability to use own initiative and work independently but knowing when to seek further advice. The ability to stay calm and confident in difficult or pressurised situations. A flexible can-do approach, self-motivation, and resilience with evidence of the ability to adapt to the changing needs and priorities to meet the needs of the customer Good IT skills including Microsoft Office Applications (Word, Excel, PowerPoint, Teams and Outlook) and the ability to adapt to other University IT systems (e.g. Elemental, SITS). Experience within a Higher Education setting – either participating on a degree course or previously working within such an institution Demonstrable ability to communicate professionally, confidentially, sensitively and with integrity. Welsh Speaking (preferred, not essential) Experience of working in a team Experience of working in a busy customer-focussed environment and providing high level customer service Experience of using a variety of social media platforms and other electronic applications (desirable, not essential)
